You cleared the interviews, negotiated the number, and HR says the offer letter is "being processed". What should it actually contain, what is legally binding, and what should you check before you resign from your current job? Here is the complete picture, with a standard format.

What an offer letter is (and is not)

An offer letter is the company's formal written offer of employment: role, compensation, joining date, and conditions. It is not the same as the appointment letter, which you receive on or after joining and which carries the detailed terms of employment. Key point: until you sign and return the offer letter, and the company confirms receipt, you have an offer - not a job. Resign from your current role only after the signed offer is in hand and any conditions (background check, documents) are clear.

What a valid offer letter must contain

  • Company letterhead, date, and a reference number
  • Your full name and the exact designation and department
  • Compensation: CTC breakup or at minimum fixed vs variable split, pay frequency
  • Joining date, time, location (or remote terms), and reporting manager

If the offer letter is delayed or withdrawn

Delays of one to three weeks between verbal offer and written offer are common, especially in large companies - keep following up in writing every few days. Do not resign on a verbal offer. If an offer is withdrawn after you accepted in writing and resigned, you may have legal recourse (an accepted offer creates obligations), but prevention is the real protection: keep interviewing until the written offer is signed, and never resign against a verbal commitment.
