You signed the offer, resigned, served notice - and now everything waits on "BGV". Background verification is the least transparent part of Indian hiring: it happens to you, largely without you. Here is what is actually checked, how long it takes, what triggers red flags, and how to keep yours clean.

What companies verify

The EPFO trail: why your PF history matters here

This is the part candidates rarely expect. Verifiers increasingly pull your UAN-linked employment history, because EPF contributions are an employer-side record you cannot edit. Every company that paid you PF appears with joining and exit dates. Consequences:

  • A job you left off your resume still shows if the employer contributed to EPF
  • Overlapping PF contributions from two employers in the same month triggers a moonlighting flag
  • Date mismatches between your resume and the PF record are the most common BGV discrepancy in India

Timeline: what to expect

  • Standard cases: 5-15 working days, sometimes starting before your joining date and completing after.
  • Slow cases: 3-6 weeks when a university or old employer is unresponsive - regional universities and shut-down companies are the usual bottlenecks.
  • Conditional joining: many companies let you join while BGV runs, with the offer contingent on a clean result.

What triggers a red flag

  1. Date inflation. Stretching a 10-month stint to "1.5 years". Even a 2-3 month mismatch can flag.
  2. Fake or altered documents. Edited experience letters and payslips are the fastest route to blacklisting - agencies share flag lists.
  3. Absconding exits. Leaving without notice shows as a negative exit type from the employer. How you leave follows you - the relieving letter you get (or do not get) is part of this record.
  4. Moonlighting overlap. Two active PF accounts in the same period.
  5. Degree mismatches. Wrong year of passing or an unrecognised institution.

Red flag does not mean rejection - usually

Most agencies classify results as green (clear), amber (minor discrepancy), or red (major). Ambers - small date gaps, an unresponsive old employer, address differences - usually resolve with documents: payslips, bank statements showing salary, Form 16, or the experience letter. Reds from document forgery are different: offers get withdrawn, and the flag can follow you across agencies.

How to keep your BGV clean

  • Keep every document from day one of every job: offer letter, payslips, experience and relieving letters, Form 16.
  • Match your resume dates to your PF record exactly - months included.
  • Disclose short stints if they had EPF. Hidden-but-discovered looks worse than disclosed-and-explained.
  • Exit properly everywhere: serve notice, get the relieving letter, keep your UAN continuous via PF transfer on job change.

What you should do while BGV runs

The waiting period is not passive. Send the agency every document in one organised bundle on day one - delays usually come from the verifier chasing you, not the other way around. If a previous employer has shut down or a university is slow, proactively offer alternates: Form 16, bank statements showing salary credits, PF passbook entries, and relieving letters all substitute for a direct HR confirmation. Keep your joining HR informed of anything that might look odd before the report lands - an explained discrepancy is an amber, a discovered one looks like concealment. Yes - almost every offer letter makes the offer conditional on satisfactory verification, and courts have upheld withdrawals over material discrepancies, especially document forgery.

Do startups do background checks?

Increasingly yes, though lighter - often just identity, last employment, and references rather than a full agency check. Funded startups at Series A and beyond usually formalise it.

Will a gap year fail my verification?

No. Gaps are not discrepancies - they only become a problem if you covered them with a fake job. Explain the gap honestly; verifiers verify claims, not judge choices.

Can I see my own BGV report?
