You resigned, served your notice period, and wrapped up handover - but your next employer will not let you join without one document: the relieving letter. Here is what it is, what it must contain, a ready format you can adapt, and what to do if your employer is sitting on it.

What is a relieving letter?

A relieving letter is the employer's formal confirmation that you have resigned, completed your notice period, cleared your dues and handover, and been relieved of your duties from a specific date. It is proof that you left cleanly and are free to join another company.

It is different from an experience letter, which certifies what you did and for how long, and different from your resignation letter, which starts the process. Most Indian employers ask for the relieving letter (sometimes together with the experience letter and last three payslips) during background verification before your joining date.

What a relieving letter must contain

  • Company letterhead, date of issue, and a reference number
  • Your full name, employee ID, designation, and department
  • Your date of joining and last working day
  • A statement that your resignation has been accepted and your notice period completed
  • Confirmation that handover and clearances are done and there are no dues pending (or the dues position)
  • Authorised signatory name, designation, signature, and company seal

Email format to request your relieving letter

If your last working day has passed and the letter has not arrived, send a short, factual email to HR with your reporting manager copied:

Dear [HR name],

My last working day was [date], and I have completed my notice period, handover, and exit clearances. I need my relieving letter for my next employer's joining formalities, and my joining date is [date]. Could you please share the letter by [date]? Happy to complete anything pending from my side.

If your employer delays or refuses

Employers in India are not legally barred from delaying, but these steps work in roughly this order:

  1. Written reminder to HR with your manager copied, with dates and your joining deadline.
  2. Escalate to the HR head or business head in writing.
  3. Ask your new employer for time or alternatives - many accept the resignation acceptance email plus payslips temporarily, and confirm through background verification later.
  4. For a genuine dispute (bond, notice buyout, absconding tag), put your position in writing and consider a legal notice. Labour authorities can help where dues are withheld.

Leaving early? The relieving letter is where it shows

If you exit before completing your full notice - with or without a buyout - the relieving letter should still state that your resignation was accepted and you were relieved from a specific date. What changes is the dues position: the letter may note a notice-period recovery adjusted in your full and final settlement. That is normal and does not harm background verification, as long as the exit was mutually agreed. What does cause trouble is an exit marked "absconding" - abandoned notice without agreement - which surfaces in verification and can kill an offer. If you cannot serve the full notice, negotiate the buyout in writing before your last day rather than after.

Digital relieving letters and verification

Most companies now issue relieving letters as signed PDFs over email, and these are fully acceptable - background verification agencies verify directly with the employer's HR anyway. What matters is that the document is on letterhead (or from an official HR email), carries a reference number or verifiable signatory, and matches the employment dates your new employer has on file. A mismatch between your offer letter dates and your relieving letter dates is one of the most common reasons verification flags a candidate, so check the dates the day you receive it and get corrections in writing immediately.

Is a relieving letter mandatory to join a new company?

Not by law, but most Indian companies - especially IT services and large corporates - require it for background verification. Some accept an experience letter plus resignation acceptance email as a temporary substitute.

How long does it take to get one?

Most companies issue it on the last working day or within a week. If it has been two weeks, escalate in writing.

Can a company refuse to give a relieving letter?

They can withhold it during a genuine dispute - uncompleted notice, unpaid bond, pending company property. Completing the exit formalities and documenting everything in writing resolves most cases.

Does a relieving letter mention salary?

Usually no - it confirms employment and clean exit. Salary proof comes from payslips, Form 16, or the F&F statement.
