Leave Application Format: Samples for Every Leave (2026)
Ready-to-use leave application formats: casual, sick, vacation, half-day, and formal letter - plus the etiquette that gets leave approved without friction.

Asking for leave should be simple, but the email or letter you send sets the tone - too casual and it reads as careless, too stiff and it feels off for a WhatsApp-era workplace. Here is a ready-to-use leave application format for every common leave type in Indian workplaces, plus the etiquette that gets leave approved without friction.
The universal structure
Every leave application needs five things, whatever the format:
- Dates: from and to, with the total count of working days
- Reason: honest and brief - one line, not a paragraph
- Coverage: who handles your work, or how you have prepared
- Contactability: whether you are reachable, and for what
- Return date: stated explicitly
Casual leave (email to manager)
Subject: Leave application - 6-7 October
Hi [Manager],
I would like to apply for casual leave on 6 and 7 October for a family function in Jaipur. I will finish the current sprint tasks before leaving, and [colleague] can cover anything urgent while I am away. I will be reachable on phone for emergencies and back in office on 8 October.
Thanks,
[Name]
Sick leave
Subject: Sick leave - [date]
Hi [Manager],
I am unwell and will not be able to come in today. I expect to be back tomorrow, and will update you by evening if that changes. [Colleague] is aware of my open items; I will pick things up as soon as I am back.

For sick leave beyond two or three days, most companies ask for a medical certificate on return - mention that you will share it.
Planned vacation (longer leave)
Subject: Leave application - 20-31 December (8 working days)
Hi [Manager],
I would like to apply for earned leave from 20 to 31 December for a family trip, returning on 1 January. This is 8 working days. I plan to complete [deliverable] by 18 December, and I will hand over [responsibility] to [colleague] with notes before I leave. I will be offline during this period except for genuine emergencies.
Please let me know if these dates work with the team schedule.
Thanks,
[Name]
Apply for long leave three to four weeks ahead where possible - notice is the difference between an approved leave and a negotiation.
Half-day leave
Subject: Half-day leave - [date] (second half)
Hi [Manager], I need to take the second half off on [date] for a personal appointment. I will wrap up my morning tasks before leaving and be available on chat if anything urgent comes up. [Name]
Formal letter format (for HR records)
Some organisations - government offices, schools, traditional companies - still want a written letter:
Date: 3 October 2026
To,
The Human Resources Manager
[Company name]Subject: Application for earned leave
Dear Sir/Madam,
I request leave from 20 October to 24 October 2026 (5 working days) on account of a family commitment. I have completed my pending assignments and briefed [colleague] to handle urgent matters during my absence. I will resume duty on 27 October 2026.
Kindly approve the leave.
Yours sincerely,
[Name, designation, employee ID]
Etiquette that gets leave approved
- Ask, do not announce. "I would like to apply" gets approved; "I will be on leave" gets remembered.
- Name your coverage. The manager's first thought is "who handles your work" - answer it before they ask.
- Be honest within reason. Vague "personal reasons" is fine occasionally; a pattern of it reads as hiding something.
- Respect the calendar. Leave during a release, audit, or peak season needs extra notice and a stronger coverage plan.
- Put it in writing even when agreed verbally. The email is the record - it protects you at appraisal time and during background verification years later, when exit records matter.
Special cases
- Emergency leave: inform by call or message first, follow up with the written application the same day. The sequence matters - the record should exist even when the situation did not allow advance notice.
- Leave during notice period: allowed but sensitive - long leave during notice can be read as checked-out behavior and shows up in exit feedback. See notice period negotiation if you are trying to shorten the period instead.
- Leave during probation: most companies allow it but with fewer accrued days. Check the probation rules your offer letter references.
FAQ
Should I give a reason for casual leave?
A brief honest line is enough - "family function", "personal work". You do not owe details, but a completely blank reason invites questions a simple line would avoid.
Can my manager reject leave?
Yes, leave is an approval, not an entitlement on demand - but repeated arbitrary rejection is worth raising with HR. Earned leave in particular is a statutory benefit in most states.
How many days of leave do I get in India?
Typically 12-21 days of earned/privilege leave plus 7-12 days of casual and sick leave, varying by state law and company policy. Your offer letter annexure or HR policy has the exact split.
Is WhatsApp leave application acceptable?
In most modern workplaces, yes for short leave - but follow up with an email or HR-system entry so the record exists formally.
