When an internship ends, the certificate is the proof it happened - for your resume, your college records, and the background checks of your first job. Whether you are a student asking for one or a manager issuing one, here is what it must contain, a ready internship certificate format, and how it differs from an internship letter or completion email.

What an internship certificate is

An internship certificate is the organisation's formal confirmation that a person completed an internship: the role, the department, the dates, and usually a line on performance. Colleges require it for credit, and employers increasingly verify internships during background verification - a certificate that cannot be traced back to the company raises flags years later.

  • Company letterhead with logo, address, and contact details
  • Certificate title and a reference number
  • Intern's full name (matching their ID exactly)
  • Internship role or title and department
  • Start and end dates, with total duration
  • A line describing the work area or project
  • Performance or conduct remark (optional but valuable)

If you are the intern: how to request it

Ask before your last day, not after. A short email to your manager or HR:

Subject: Internship certificate request - [Your name]

Hi [Name], my internship ends on [date]. Could you please issue my internship certificate by my last working day? My college requires it for credit submission, and I would also appreciate a line on the project I worked on. Happy to share a draft format if useful.

If weeks pass after the internship without the certificate, follow up in writing - companies are far slower once you have left. If the internship was unpaid or informal and no certificate exists, an experience letter or even a signed email confirmation from the manager carries some of the same weight; the experience letter format shows what that looks like.

College submission requirements to check early

Colleges vary in what they accept, and discovering the requirement in submission week is how certificates end up delayed. Check in your first week of the internship, not the last: does your college need the certificate on letterhead with a seal, is a digital signature acceptable, is there a prescribed college format the company must fill, and does an evaluation form need the supervisor's signature alongside? Share these requirements with your manager upfront - HR teams issue certificates far faster when they have the exact format in hand rather than discovering rejections later. Keep both a scan and the original; the scan goes into college portals and job applications, the original goes into the file you will need at verification time.

Is an email confirmation enough without a formal certificate?

For most employers, a signed PDF certificate is the standard, but a verifiable email from an official company address confirming your internship and dates works as a fallback. Verifiers care about traceability, not the letterhead's fanciness.

What if my internship was remote?

The format is identical - remote internships are certified the same way. The certificate does not need to mention the mode unless your college asks for it.

Can a startup without letterhead issue one?

Yes - a certificate on a simple branded document with the founder's signature, company registration details, and contact information is valid. What matters is that a verifier can reach the issuer.

Should the certificate mention the stipend?

Usually no - stipend details belong in the offer letter. The certificate certifies work and tenure.
